Project Management for Beginners using AI and n8n Automation

Project managers and beginners often spend a significant part of their day following up on updates, reading communication threads, tracking tasks, identifying risks, and preparing reports for stakeholders. These activities are important but often repetitive and time-consuming. This hands-on five-day training demonstrates how many of these tasks can be automated using AI and workflow automation with n8n, allowing project managers to focus more on decision-making and leadership rather than manual coordination. Throughout the programme, participants learn how to design automation workflows that monitor communication channels, detect important updates, analyse messages using AI, and automatically trigger alerts or reports. They explore how AI can interpret the context of project communications, identify potential risks earlier, and support better decision-making. Using Generative AI tools such as ChatGPT or Claude, learners also discover how automation workflows can be created quickly by describing processes in simple language. The training also introduces modern automation concepts such as APIs, AI agents, and workflow orchestration, while remaining accessible for non-technical participants. Learners practice building and running workflows, connecting everyday office tools, and even setting up their own personal AI automation environment.

By the end of the programme, participants understand how AI-powered automation can support day-to-day project management. Day 1 - Project Management using Automations 

● Understand the basics of project management and how the role of project managers is evolving in the era of AI and automation. 
● Learn what automation is and how it can help project managers save time by reducing repetitive tasks such as:  Managing daily standups or team meetings / Preparing weekly project status reports / Tracking important updates from communication channels / Sending task and deadline reminders / Collecting updates from team members automatically 
● Get familiar with n8n, a visual drag-and-drop automation platform used to build workflows without programming. 
● Understand how automation workflows can start in different ways: Manual trigger / Scheduled trigger / Event-based trigger 
● Learn how automation can monitor communication tools (e.g., Microsoft Teams, Slack, Microsoft Outlook). 
● Understand simple ways systems connect securely such as:  Username and password / API keys or tokens / App-based login 
● Learn how automation can detect important messages and trigger actions automatically.

● Learn why sentiment analysis alone may not detect all critical updates. 
● Introduce AI Agents (Agentic AI) that can analyse the context of messages and decide when escalation is required. 
● Understand the basic structure of digital systems: User Interface / API (Application Programming Interface) / Database 
● Learn how workflows can collect additional information from systems to improve decision making.

● Introduce JSON, a format that acts as a common language for systems to exchange information. 
● Learn how Generative AI tools (ChatGPT or Claude) can help create automation workflows quickly. 
● Demonstrate how learners can describe their manual tasks in natural language, and AI converts these instructions into automation workflows. 
● Understand how AI-generated workflows can be automatically created in n8n. 
● Introduce MCP (Model Context Protocol) for connecting AI assistants with automation platforms. 
● Learn how workflows can be triggered by chatting with AI assistants or using voice commands.

● Discuss the difference between local AI models and cloud AI services. 
● Understand why secure connections are important when automation tools communicate with external systems.

Day 5 - Office Workflows Implementation and Practice Participants will: 

● Identify and select three workflows from their daily office or workplace routines that involve manual or repetitive tasks and are suitable for automation. 
● Participants design and implement these workflows using n8n, generative AI, agentic AI, and MCP.
